ROLE

The Procurement Officer – Wa is responsible for planning, coordinating, and executing the company’s procurement activities to ensure the timely acquisition of goods, services, and materials required for operations. The role oversees the full procurement cycle, including sourcing, supplier management, contract administration, inventory coordination, invoice verification, and procurement reporting. The Procurement Officer ensures that all procurement activities are conducted efficiently, cost-effectively, transparently, and in compliance with company policies, statutory requirements, and internal control procedures.

RESPONSIBILITIES

Your core responsibilities will include:

  • Prepare, review, and issue Purchase Orders (POs) in line with approved requisitions and authorization limits.
  • Ensure all procurement documentation is complete, accurate, and properly approved prior to processing.
  • Manage the end-to-end procurement process from requisition to delivery, ensuring efficiency, transparency, and compliance with company policies.
  • Coordinate with internal departments to understand procurement needs and timelines.
  • Develop, review, and manage supplier contracts and agreements.
  • Maintain effective supplier relationships to ensure favorable pricing, quality, and timely delivery.
  • Take inventory and verify Goods Received Notes (GRNs) for accuracy against purchase orders and delivery documentation.
  • Coordinate with stores/warehouse personnel to ensure timely and accurate recording of received items.
  • Prepare and review supplier invoices to ensure consistency with approved POs, GRNs, and contract terms.
  •  Process verified invoices for payment in collaboration with Finance, ensuring adherence to payment timelines.
  • Maintain accurate and up-to-date supplier records, including contracts, pricing, and contact details.
  • Record and track all procurement activities to support reporting, audits, and management decisions.
  • Ensure that all procured goods meet the required quality and food safety standards.

Qualifications and Experience

Education

  • Bachelor’s Degree/HND in Procurement and Supply Chain Management  

Experience

  • Minimum of 2–3 years’ relevant experience in procurement, purchasing, supply chain.
  • Experience working in agriculture, manufacturing, FMCG operational environment will be an advantage.
  • Demonstrated experience in supplier management, contract administration, inventory control, and procurement reporting.

Knowledge, Skills, and Competencies

Technical Skills

  • Good understanding of procurement principles, sourcing techniques, and contract management.
  • Knowledge of inventory management practices and stock control procedures.
  • Proficiency in Microsoft Office Suite, particularly Excel.
  • Experience using ERP(Factura)or procurement systems is an advantage.
  • Ability to analyze quotations, supplier proposals, and procurement data.

Other Requirements

  • Must reside or be willing to reside in Wa.
  • Ability to travel periodically to company operational sites and supplier locations when required.
  • Possession of a valid driver’s license will be an added advantage.
